These documents, which include creditor reports, companies house paperwork and VAT returns, were often statutory papers with time critical deadlines. On average the business was posting 2,122 letters each month! And the firm’s reputation rested on its ability to meet these timescales on behalf of clients.
Managing outgoing post had become an industry within the business. The post room had 16 printers and a full-time member of staff operating a folding machine and a franking machine to prepare letters for the daily post collection.
Each letter could take between five and ten minutes to prepare. The process was very expensive with paper supplies, long-term printer contracts and machine maintenance all needing to be factored in. It was clear that regular printer jams, human error, and a loss of productivity from office conversations around the printers were all affecting operational performance.
The day came when the senior team started to review the cost of franking and folding machines. They discovered the enormity of the costs and resources tied up in the postal operation.
